This policy explains what information we collect through pathfwd.app and our client portal, and how we use, share, and protect it — including information collected through our text messaging program.
This Privacy Policy covers information collected through our website, client portal, and text/email messaging — things like your contact details, appointment history, and communications with our office.
Your clinical record — diagnoses, treatment notes, and other protected health information created during your care — is governed separately by our Notice of Privacy Practices under HIPAA, which we provide at intake and which is available on request. Where the two overlap, the Notice of Privacy Practices controls how we handle your protected health information.

Text messaging data
If you opt in to our text messaging program, we collect your mobile number and the content of messages exchanged with our office, and use them only to operate that program as described in Section 5 of our Terms of Service — appointment reminders, scheduling notices, and account notifications.
We do not share your mobile opt-in data or consent, or the content of your text messages, with any third party or affiliate for marketing or promotional purposes. This information is shared only with the messaging infrastructure provider that delivers the texts on our behalf (see Section 5 below), and as otherwise described in this policy.
We retain account, appointment, and communications information for as long as your account is active, and afterward for as long as required by our record-retention obligations under Virginia law and applicable clinical record-keeping requirements. Text messaging opt-in records are kept for as long as needed to honor your opt-in or opt-out choice.

We use encryption in transit and at rest, access controls limiting staff access to what their role requires, and regular review of our systems to protect your information. No system is completely immune to risk, but we treat the security of your information as core to how we operate the Service.
Where we provide services to minors, information about them is collected and managed through a parent or legal guardian’s account, in accordance with this policy and applicable law. We do not knowingly collect personal information directly from children through a self-managed account.
We may update this Privacy Policy as our practices change. If we make a material change, we’ll update the effective date above and, where required by law, notify you directly.
